Do you use your calendar to meticulously track everything that you do?

Maybe you’re one of those people who won’t show up for a meeting unless it’s on your calendar.

Do you often find yourself saying to others “Hey, send me an invite!.”

Now let me ask you, do you categorize and prioritize all the items on your calendar?

If you’re still with me then congratulations, you are a Calendar Freak.

So calendar freaks, I want to share with you my greatest productivity secret.

 

It’s called the “Start and Stop” calendar, and here’s how it works.

Every item on my calendar is classified into three different categories, each with its own color code.

#1 – The WANT To Dos:

They are the most important but not urgent tasks. I use orange because it’s my favorite color.

#2 – The NEED To Dos:

In red, are the need to dues they’re the most urgent and also important tasks.

#3 – Personal and family time:

I use pink because that’s my wife’s favorite color.

 

Every Sunday morning. I start by booking out all the one to dues in orange first,
then I booked my need to dues second.

Now most of my personal time is preset on the calendar like when I eat breakfast when I have lunch and when I finish the day to have dinner with my family.

  • Want to do is take up approximately 20 to 30% of the time on my calendar.
  • Need to do is take up approximately 40 to 50% of the time on my calendar.
  • And the remaining 20 to 30% is for acceptable interruptions. In other words, me being flexible and helping others.

 

When I booked my wants and needs no task is ever booked for more than two hours in length.

If I believe the task will take more than two hours to complete, I break it up into S.M.A.R.T – Specific, Measurable, Attainable, Relevant and Timebound tasks that I know will take less than two hours to complete.

I planned all of this work on a Sunday morning and by Friday, all of my work has been completed and I’ve still had time to be flexible and help others.

 

This secret, along with my other time hacks, has tripled my productivity and greatly reduced my stress and I finish every week feeling positive and absolutely fulfilled by my work.
